Responsibilities Information Management Specialists play an important role in ensuring that our clients receive the right information at the right time, to make smart business decisions. Whether assisting in the Records and Information Management Center, Property Research Center, or Scanning & Imaging Area, you will be working with public customers and internal clients evaluating and interpreting their records and information management needs, or advising them on how to proceed with obtaining the information they are requesting. Your clients will range from industry groups like architects, developers and lawyers to business owners, homeowners or residents. You will work with and become knowledgeable with The Freedom of Information and Protection of Privacy Act and Bylaw 53M99 regarding policies and procedures for the management of the City of Calgary's records. Reporting to the Supervisor, the Information Management Specialist duties include the following as well as other related duties: -Assist in the day-to-day activities of Records and Information Management which includes the inventory and conversion of records into Livelink Records Server in accordance with the Corporate Records Classification and Retention Schedule. - Organize, scan and maintain records and documents in conformance with safety management and corporate standards for document management. - Assist in the processing and monitoring of records for circulation, disbursement and retrieval from our off-site records storage facility. - Assist the customer service counter in the sale of planning policy documents. - Answer inquiries by telephone or in person relating to record research and information. - Cash handling process payments for record searches and planning documents. - Participate in records and safety audits and inspections. - Assist in processing Freedom of Information and Protection of Privacy requests.

The successful applicant will possess a Certificate equivalent to one year full-time study in Records and Information Management and two years of work related experience, OR a Diploma equivalent to two years full-time study in a related field plus a minimum of one-year work-related experience. Preference will be given to applicants with previous experience in IRIMS, Livelink and POSSE, and image enhancement software such as Adobe Products and Spicer Imagination. Familiarity with FOIP legislation and The City of Calgary's Corporate Records Classification and Retention Schedule would be a definite asset. Applicants must be customer-focused and have well developed communication skills, the ability to work under pressure, demonstrate initiative, build positive relationships and develop strong partnerships with team members and customers (internal and external). Must be able to lift materials weighing up to 30 lbs. Note Successful applicants must provide proof of qualifications. Only education obtained from an accredited institution will be recognized as meeting the minimum qualifications. Applicants may be tested for appropriate skills. - More than one position may be filled.
