Duties:

Duties include but are not limited to: oEnsure that filing, search requests, client requests, retrievals, circulation and tracking of offsite records, set-up of new records, processing of transmittals and returns, and movement of records are handled efficiently within a timely manner; oQuality control and coding of inactive records in accordance with Penn West Records Retention Schedule oAnalyze and prepare information for data entry and integration and ensure daily updates to all databases, spreadsheets, and indexes; oCoordinate the movement of information to/from the designated pick-up and drop-off areas for TAB, Offsite Vendors, Suppliers, and mail room as designated; oAssist clients with project initiatives, box requests, merges, shifts, indexing and conversion as required and provide assistance and guidance for records process/procedures to all staff as required; oWork with team and staff to identify, classify, prepare and archive information in an efficient and systemic process for access and retrieval in a document management system; oUtilize computer applications to compile, sort, retrieve, analyze and present data in standardized formats for input and integration; oOrganize records for disposal in accordance with directives outlined in Policy and Procedures.

Qualifications:

oCompletion or progress toward the completion of Records Management Certificate or associated courses; o2-3 years experience in a role with good working knowledge of Records Center; oGood attention to detail with strong interpersonal and communication skills; oExperience with scheduling and utilizing archival and offsite storage facilities; oAbility to conduct research, analyze finding and provide recommendations; oAbility to multi-task, prioritize, schedule and organize work, perform under tight deadlines and adapt to changing priorities; oCustomer service oriented with ability to work collaboratively with all levels of staff and management; oAbility to work in a team environment and under minimum supervision; oProficiency in the usage of standard desktop applications within scope of responsibility; oKnowledge of Best Practices, Records Management Policy, Procedures and Records Retention Programs, and Offsite Management and storage procedures; oMaintain a positive and professional attitude with clients and team members; oAbility to lift 25 pounds.
